CBO receives on average of 75 reports per day from security personnel, covering incidents, patrol checklists, and shift summaries. These reports were sent via email and manually entered into internal systems for operational tracking and compliance.
Manual processing caused:
- Delays: Although each report required approximately 4 minutes of active processing time, the overall completion time was longer due to limited working hours (5 days a week, 8-hour shifts).
- Backlogs: Growing client base increased workload.

The Solution
Microsoft 365 and Power Platform Integration
CloudConnected implemented a solution using the Power Platform. Using AI logic, reports are automatically read, understood, and entered into CBO’s internal systems—removing the need for manual data entry.
How AI logic works: The system reads structured data from each report (like names, dates, incident types) and automatically places it in the right fields in CBO’s system.
Pilot Project: Security Partner – Maasstad Security
The automation was first implemented with Maasstad partner, which uses its own database system. Following the successful rollout, the solution was extended to other partners, many of whom use Sequrix, a widely adopted reporting platform in the security industry for logging patrols, incidents, and daily activity.

- Extracted data from emailed forms
- Entered the data into CBO’s internal systems
- Stored reports for compliance and auditing

After the first success with Maasstad, the automation framework was expanded to other CBO clients that use the Sequrix platform. Because Sequrix uses standardized forms, we built workflows that recognize and process different types of reports—such as daily patrols or incident reports—with very little extra setup. Each report type has its own workflow, making the system accurate, reliable, and easy to maintain.
